SPITS Oosterwolde specialises in supplying automatically packaged medicines to pharmacies, hospitals, and (healthcare) institutions. Fast and accurate handling of contracts is therefore essential. "A few years ago, customers were all still visited in person to arrange the signing. Now contracts are sometimes completed within an hour!", says Marije Rosing, Sales Support at SPITS Oosterwolde.
SPITS supplies more than 600 pharmacies and institutions in the Netherlands with the MediRol every day. These are medicines packaged per moment of intake. The MediRol is an aid for patients who take multiple medicines in a single day.
The challenge: contracts across the Netherlands
"Because our customers are now spread across the entire country, we faced the challenge of handling our contracts quickly but accurately. For a long time, we preferred to visit our customers in person to finalise the contracts. From a sustainability perspective, this eventually became untenable. We decided to send the contracts by post. However, this process takes a long time and you have hardly any visibility of the signing status. You don't know exactly when the post will arrive, where a letter is held up, and if it gets lost, everything has to be done again," says Marije.
Choosing ValidSign and All-CRM
SPITS Oosterwolde's main wish was to gain more insight into the signing process and to do this directly from their CRM package, SuperOffice. "The people at SuperOffice advised us to start using ValidSign. It turned out our finance administration was already working with it, so that made the choice easy. On top of that, it's a Dutch company, and that inspires confidence," Marije continues. "Through SuperOffice we got in touch with All-CRM. They integrate ValidSign fully into SuperOffice, and that is a major advantage. All customer data is directly linked and the signed contracts are automatically stored in the customer file. So you manage everything in one place and always have the information at hand."
On the collaboration with All-CRM, Marije says: "We had very good contact with All-CRM. In a few sessions we discussed the possibilities, our wishes, and the process. That way we knew exactly what was possible, what suited us, and what the result needed to be. A test session with several colleagues was scheduled so we could test the application together. That was really helpful."
Almost two years on: a grip on contracts
SPITS Oosterwolde has now been working with ValidSign for SuperOffice for almost two years. "We are still incredibly happy with the choice we made back then. The signing process is clear and effective. We have much more grip on the handling of contracts. The process is easy to manage from SuperOffice and all customer data and contracts are available in one central place. It has saved us a lot of time — the fastest signing was completed within an hour. You simply can't achieve that with the post!", concludes Marije.
